Meet Event Coordinator Jen M!
“Industry Events are a big part of Associations, and ensuring their proper execution is an important job. As an Event Coordinator, I’m involved with every facet of the event process, from creation to implementation and all the details in-between. I add value to my clients by creating innovative events that draw new and repeat attendees, and encourage new members to join the association. Events are all about bringing people together to create a shared experience that is both informative and fun; the goal being to make sure the attendees leave the event with new connections, valuable information, and a smile on their face.
The biggest way I stay organized is by making a lot of lists. I like handwriting my lists so I can write notes in the margins and easily add or erase things –plus there is just something so satisfying about physically crossing an item off your to-do list. Each morning I review my list from the day before and create an updated version for the current day, with important deadlines and deliverables at the top of the page. I also like to keep things on my list that may not be an active to-do, but is still something I need to keep in mind. The brain can only remember so much –so I make sure to write every thought and reminder down on paper.
My favourite part of being an Event Coordinator is seeing the event come together and watching the attendees enjoy themselves. There’s a moment when you realize that your hundreds of to-do lists, emails, phone calls, meetings and excel spreadsheets have all united to create a fantastic, larger-than-life event, and it’s pretty exciting. It is a great feeling when an attendee comes over to tell you that they had a fantastic time –it makes all the late nights and last-minute problem solving totally worth it.
Being an Event Coordinator can involve a lot of long and unusual hours, and it’s important to me to maintain a proper work-life balance. No matter how busy I am, I always make time to stay active with daily visits to the gym or long runs in the ravine behind my house. After an especially long day my brain often feels like a cluttered whiteboard crammed with scribbled notes and to-dos, and exercise is a great way to wipe the board clean and come back refreshed and energized.
As well as event coordination, I am also a skilled writer and website developer. At school I learned to code webpages using different programming languages, which is a skill I now utilize daily when creating e-marketing promotions, as well as helping my coworkers de-bug their technical issues. I also love to write, and am currently in the process of writing a novel. The story is centered on a suburban family dealing with love and loss on the brink of an imminent global apocalypse. To further improve my writing skills, I’m taking night classes at Ryerson for Creative Writing, and I am very excited for the future of my novel.
My coworkers at Managing Matters are also a big part of why I love my job.
Team spirit is ingrained in our employee culture, and everyone is always more than willing to pitch in and lend a helping hand. Even when we’re all up to our eyeballs in work, we always find time to have fun as a team, whether it is through our bi-weekly Friday afternoon wine parties, after-hours social excursions, birthday lunches, book club, or room-escape game adventures. I love being part of the Managing Matters team because I know we are all working towards the same goal, and that everyone around me has my back.
There is definitely a lot of stress involved in being an Event Coordinator, and my friends and family often ask me why I chose it as a career. The answer is simply that I love it.”
